A fridge reading that is two or three degrees too high can turn a full delivery into a costly waste issue by the end of service. This commercial refrigeration temperature checklist gives kitchen managers a practical routine for protecting chilled and frozen stock, identifying equipment faults early and keeping clear records for food safety controls.

For most professional kitchens, the aim is not simply to stay inside a legal limit. It is to maintain stable, repeatable temperatures that give you working room during deliveries, busy service periods and frequent door openings. A cabinet consistently operating at 2°C to 5°C is easier to manage than one sitting close to its maximum acceptable temperature before the kitchen gets busy.

Set the right temperature targets

Refrigeration requirements depend on the food being stored, the unit type and your documented food safety procedures. As a working benchmark, chilled high-risk food should generally be kept at 8°C or below, while many kitchens set refrigerators between 1°C and 5°C. This protects stock quality and gives a margin for short-term temperature movement when doors are opened.

Freezers should normally operate at -18°C or colder. A freezer at -18°C may rise temporarily during loading or defrosting, but repeated rises, soft product or ice build-up require investigation. Do not rely on the cabinet display alone. It measures air temperature in one location, not necessarily the temperature of the food in the warmest area of the cabinet.

Different equipment needs different expectations. A refrigerated prep counter will be opened far more often than a walk-in cold room. A blast chiller works under a defined chilling cycle rather than a fixed storage setting. Refrigerated display equipment must balance product access, lighting and ambient heat. Set targets according to the manufacturer’s guidance and your food safety system, then record the acceptable range clearly for the team.

Daily commercial refrigeration temperature checklist

Complete checks at the start of the day, before high-risk food is loaded and after any reported issue. Use a calibrated probe thermometer where appropriate, along with the unit display reading. The probe should be cleaned and sanitised before and after use.

  • Check and record the displayed air temperature for every refrigerator, freezer, cold room and refrigerated prep counter.
  • Probe a representative food item or use a suitable test pack to confirm product temperature, particularly in high-use cabinets.
  • Confirm chilled food is stored at or below your site limit, with a practical target of 1°C to 5°C for most refrigerated storage.
  • Confirm frozen products are hard frozen and cabinets are operating at -18°C or below.
  • Check that doors close fully, seals are intact and nothing is preventing the door from shutting.
  • Look for warning lights, alarm messages, excess condensation, standing water, unusual noise or frost around the evaporator area.
  • Ensure stock is covered, labelled, dated and stored to allow airflow around shelves and containers.
  • Record corrective action whenever a reading falls outside the accepted range.

A checklist only works when it records meaningful information. Writing the same number every day without checking the equipment or product temperature gives a false sense of control. Assign responsibility by shift, make the records easy to complete and ensure a manager reviews any exceptions.

Check food temperature, not just cabinet air

Air temperature can change quickly when a door opens. Food temperature changes more slowly, which is why a cabinet may recover on its display while stock has been exposed to unsuitable conditions for longer than expected. Check the warmest likely point, such as stock near the door, on upper shelves or close to an overloaded section.

Avoid piercing wrapped or ready-to-eat food unnecessarily. A sanitised probe between packs, a purpose-made test pack or an infrared thermometer used as an initial screening tool can help. Infrared readings are useful for surfaces but should not replace a probe check where a critical decision is required.

What to check during deliveries and service

Temperature control can be lost before food reaches the refrigerator. Check chilled deliveries on arrival and reject or quarantine stock that is outside your specified acceptance limit, damaged, leaking or delivered in poor condition. Put high-risk chilled goods away first. Leaving crates beside the fridge while the team works through an entire delivery is a common and avoidable failure point.

During service, watch how the equipment is being used. Propping a cold-room door open, overfilling a gastronorm counter or loading warm prep into a fridge puts unnecessary strain on the system. Refrigeration is designed to hold cold food at temperature, not rapidly cool a large volume of hot food. Use a blast chiller where fast cooling is required, then transfer food to storage once it has completed the appropriate chilling process.

The right stock arrangement also matters. Keep raw foods below ready-to-eat products, maintain separation between allergens where required and avoid blocking evaporator covers or air vents. Closely packed containers may look efficient, but restricted airflow creates warm pockets and makes the compressor work harder.

Weekly checks that prevent expensive failures

A more detailed weekly inspection helps catch the causes of temperature drift before they become downtime. Clean spillages and inspect the cabinet interior, shelving, drain channels and door gaskets. A split, loose or hardened gasket allows warm air in continuously, increasing energy use and encouraging ice formation.

Check external condenser areas for dust, grease and restricted airflow. In a busy commercial kitchen, grease-laden air can quickly coat components, especially where refrigeration is positioned close to cooking equipment. Cleaning requirements vary by model and site conditions, so follow the manufacturer’s instructions and use a competent engineer for work that involves electrical or refrigeration components.

Listen for changes. A compressor that runs constantly, a fan that rattles or a cabinet that has become noticeably louder may be working under strain. Similarly, repeated defrost alarms, water on the floor or a display that fluctuates more than usual should be logged and reported rather than ignored until the unit stops cooling.

Calibrate thermometers and protect your records

A good temperature log is only as reliable as the thermometer behind it. Establish a routine for checking probe accuracy using an approved method, retain calibration records and replace damaged probes promptly. If your checks are digital, make sure the system is still reviewed by a person who understands what an abnormal trend looks like.

Keep temperature records, alarm events, corrective actions and service visits together. These records support due diligence, but they also help engineers diagnose recurring faults. A note saying “fridge warm” is less useful than a record showing the cabinet rises from 4°C to 9°C between 12 pm and 3 pm during every lunch service.

What to do when a temperature is out of range

Do not treat an out-of-range reading as a paperwork problem. First, recheck the temperature using a second thermometer or a properly sanitised probe. Confirm the door is shut, inspect the seals, check whether the cabinet has been overloaded and look for a power or alarm issue.

If food may be affected, move it to suitable functioning refrigeration where safe to do so, keeping the transfer time as short as possible. Label or separate stock for assessment, record the time and temperature, and follow your documented food safety procedure on whether it can be retained or must be discarded. The decision depends on the product, its temperature history and the length of exposure. When in doubt, do not put questionable high-risk food back into service.

Do not keep resetting alarms or turning the controller down in the hope that the problem disappears. A lower set point cannot compensate for failed airflow, a dirty condenser, a damaged door seal or a refrigerant fault. If the unit cannot recover promptly or the fault repeats, take it out of service where necessary and arrange qualified support.

Build the checklist around your actual kitchen

A small café with one undercounter fridge does not need the same process as a hotel with several cold rooms, prep counters, freezer stores and refrigerated display equipment. The principle is the same: check the equipment often enough to spot change, verify the food temperature where risk is highest and act before stock or service is compromised.

For larger operations, divide checks by area and shift, with clear ownership for pastry, prep, main kitchen and stores. For high-value or high-volume stock, temperature monitoring with alarms can add useful protection, but it does not replace daily visual checks, good loading practice and planned maintenance.

Reliable refrigeration is built on routine rather than last-minute rescue. A clear checklist, accurate thermometers and timely engineering support give your team the confidence to focus on service while protecting the stock that keeps the kitchen profitable.
